Activities Tab (Members)

With MemberTies Professional, an additional tab appears on the membership record for activities. The Activities Tab contains a list of all activities to which the member has been entered as an attendee. Clicking any activity causes the Activity Attendance section in the lower half of the window to display all associated check-in/check-out attendance data for that activity.

Opening an Existing Activity

1In the Associated Activities section, select the activity you want to open.
2Click Open.
3When the Activity Details window opens, make your changes, then click OK. See Working with Activities for more information.

Associating the Member to a Activity

You can assign the member to any existing activity.

1In the Associated Activities section, click Search.
2When the Select Activity dialog appears, choose the appropriate activity, then click OK.  The system will assign the member to the activity and create a new, blank attendance record for you.

       Note: If you select an activity that the member is already associated to, you will receive a message indicating this.  The correct way to add another attendance entry to the existing activity is to select the activity in the Associated Activities section, then click the Add icon in the Activity Attendance section.

3When the Attendance Settings window opens, the following fields are available:

       Role - This dropdown contains all Activity Roles currently defined in the database. See Maintaining Activity Roles for information.

       Status - This dropdown contains all Attendance Statuses currently defined in the database. See Maintaining Attendance Statuses for more information.

       Start Date - This date represents the date and time the attendance starts

       End Date -  This date represents the date and time the attendance ends

       Comments - This is a freeform text field for additional details.

       Note: If you choose not to enter anything on this window, you may be left with a blank record showing in the Activity Attendance section that you will have to delete manually. This is because the activity attendance record must exist for the member to be associated with the activity, even if you don't provide any other information.

4The section labelled Related Income/Expenses enables you to tie amounts directly to the attendee. If you choose to add or edit Income/Expense entries, the following fields are available:

       Date - The date of the income or expense entry.

       Description - This is a freeform text field for additional details.

       Type - Choose either Income or Expense, as appropriate to the entry. Income entries increase the overall activity balance, while expense entries decrease it.

       Amount - The amount of the income or expense entry.

       Cheque - The cheque number or other identifier of the entry.

5When you are finished, click OK to return to the main membership record window.

Disassociating the Member from an Activity

1In the Associated Activities section, select the activity to modify.
2Click Delete to delete all associations between the selected activity and the member.
3Confirm the deletion.
