Maintaining Occupation Names

Occupations cannot be predefined like Countries or States and Provinces. Instead, Occupation options are built up as you actually enter them on membership records.  In other words, the Occupation dropdown will always contain all of the occupations you have entered in the past.

The Occupation Name maintenance window is designed to help in the event that a misspelled occupation has been used on multiple records. This window displays all occupation names that have been used, enabling you to change a name in one place (updating all records using it), or delete the name entirely (clearing the value on all records using it).

For example, suppose there are 250 records in the database with one or the other of "Police", "Policeman", or "Police Officer" as the occupation. The Maintain Occupation Names window will only show the unique names, so you can go to this window and change three entries to "Law Enforcement" and correct all 250 records, effectively merging all the names into one new name.

Changing an Occupation Name

1Choose Tools > Dropdown Lists > Addresses > Occupation Names.
2When the Maintain Occupation Names list opens, select the name to be changed and click Open.
3On the Occupation window, change the new name and click OK. Your changes will be automatically reflected on any records that were using the previous name.

Deleting an Occupation Name

If you delete an occupation from the list, the system will automatically clear the value on all records that were using it.

1Choose Tools > Dropdown Lists > Occupation Names.
2When the Maintain Occupation Names list opens, select the name(s) to be deleted and click Delete.
3Confirm the deletion.
