Using Unattended Mode

If you have membership cards created with a barcoded Member ID, and those IDs have been entered on the corresponding membership records in MemberTies, you are ready to let people check in or out of an activity without intervention by you.  This means you could setup a card reader at the entrance to an activity, and as people scan their cards, MemberTies will automatically find the appropriate membership record and create an activity attendance entry for them (in Check In mode) or check them out of the activity (in Check Out mode). A third option, "Smart Mode", lets the system determine whether to check them in or out.

Unattended mode is an extension of the Activity Front Desk window. Once the Activity Check In/Check Out section has been set up with the appropriate values, you can click "Unattended Mode" to open a special full screen window that is designed to accept incoming card scans.

Starting Unattended Check In

1Choose File > Workspace > Activity Front Desk.
2Setup the appropriate data in the Activity Check In/Check Out section. See Using the Activity Front Desk for details.
3Click "Unattended Mode".
4When the Create Password window appears, enter a password if you want to secure the unattended mode window so someone can't easily close it and access the rest of your database. If you do not want to use a password, click OK without entering anything. If you click Cancel, you'll be returned to the Front Desk window.
 
Note: If you don't ever want a password, turn off the Use Unattended Password preference.
5When the Unattended window opens, it will say, "Waiting -- Ready for Scan..."  (unless changed via Setup options, see below). When a card is scanned, the stored Member ID will appear in the box in the middle of the window.
6Click Setup to open the Unattended Mode Options window. This window includes the following settings:
Operating Mode - Determines how the system will react to scans. In "Check In" mode, the system will create a new attendance record for the scanned member record; in "Check Out" mode, the system will close ALL open entries for the current activity; in "Smart Mode", the system will first check to see whether the member is currently checked in or not.  If not, the member is checked in, and if so, the member is checked out.  The title of the window will also vary based on the Mode setting.
Stop on Error or Not Found - Select this option if you want the window to stop responding to scans when an error occurs or an ID cannot be found in the database.  If this is not selected, a message will be displayed briefly that no match was found, and then the system will accept the next scan.
Not Found Log - Select this option if you want the system to maintain a log of every "not found" scan. This enables you to then click the Open icon next to this checkbox or run the Activity Check-In Not Found report to find ID issues. Note that you can delete log entries via the window accessed by choosing the Open icon.
Terminator Key - Most bar code readers can be set to send a specific key press after each scan, typically an Enter key or a TAB key.  Identify the type of key the system should treat as the end of the scan.  If you are not sure, leave it set to the Enter key.
Welcome Text - Sets the large welcome message displayed in the top portion of the window. The default text is, "Welcome!".  This message will hold up to three lines of text, the width of the window. To enter a line break in the message, use "<CR>",
 
i.e., "This is line 1<CR>This is line 2<CR>This is line 3"
 
This text is limited to 250 characters.
Waiting for Scan Message - Sets the text displayed while the system is waiting for the next card to be scanned. The default text is, "Waiting for Scan..." This text is limited to 50 characters.
Allow Activity Selection - Select this option to display a "button" that shows the currently selected activity.  Users can click this button to open another window to quickly change the activity prior to scanning their card. (For example, if members are coming in to work on one of several projects, this option will allow them to choose the project in question before scanning their card.)
Activity Selection Message - Sets the text displayed above the activity selection button. For example, "Choose Activity..." This text is limited to 50 characters. This setting has no effect if the Allow Activity Selection option is not selected.

 When you have verified the setup options, click OK to save.

7Scan a card to be sure the system can recognize the input.
If nothing appears on the screen, be sure everything is connected correctly and that the scanner is properly set up.
If the member ID appears, but nothing happens, be sure the scanner is set up to terminate the scan with an Enter or Tab keystroke, and that the Setup options on the window correspond to that setting.
If a "Not Found" message appears, try searching for the member manually using the ID that is displayed.

Stopping Unattended Mode

1Click "Close".
2If you entered a password when the window was opened, you will be prompted for it again. Otherwise you will be returned to the Front Desk window.
